Meeting Requirements
Attendance
Attendance at scheduled meetings is required as a condition of membership. Members should make every effort to be present from the opening to the closing of the meetings. A primary benefit of the meeting is the interaction of the members. When a member misses any part of the meeting their absence reduces the effectiveness of the meeting for those who are present. Absent members are still responsible for a prorated share of the meeting expenses.
Dress
The dress for all VMG meeting sessions should be business attire, as determined by each group’s Executive Committee (Excom). The social dress will vary depending on the function. The meeting agenda should include the appropriate attire for each function.
Spring Meeting
The Spring meeting is usually scheduled at a resort location conducive to learning. Each group’s Excom determines the meeting format. The meeting typically begins on Friday evening and ends on Tuesday at noon and will include approximately 19 hours of meeting time. The spring meeting may include a problem solving session. Spouses are encouraged to attend and participate in designated planned functions. The spring meeting is structured to encourage discussions and interchange outside of the meeting rooms. The meeting chairperson will send out an agenda at least one month prior to the meeting.
Fall Meeting
The Fall meeting is normally scheduled at a hotel site near an airport. Each group’s Excom determines the meeting format. A typical meeting usually begins Thursday evening and ends Saturday evening and will include approximately 16 hours of meeting time. The meeting format should essentially be management content. There are no official spousal functions, but typically your spouse is welcome to have dinner with the group if they travel with you. The meeting chairperson will send out an agenda at least one month prior to the meeting.
Financial Requirements
Each member is required to submit financial data as agreed upon by the group to VSG as a condition of membership. Members are required to use the VSG Chart of Accounts for financial reporting. The data must be submitted no later than the last day of the month after the agreed upon reporting period. Members are expected to pay quarterly via credit card on file for data compilation and immediately upon receipt of meeting expenses. Any questions regarding fees or data submissions should be submitted to the Firm. Any unresolved questions should be submitted to the chairman of the Executive Committee. VSG, Inc. is committed to the accrual basis of accounting. Members are expected to submit management data and reports using the accrual basis of accounting.
